AES Publications Guidelines
The primary purpose of Oregon State University Agricultural Experiment Station numbered publications is to communicate research findings that may not be appropriate for scientific journals, such as perishable or localized data.
The OSU Agricultural Experiment Station publishes in two numbered series:
Special Reports
These reports communicate research results to non-technical audiences such as producers, commodity commissions, and resource users, although persons with more technical backgrounds might use these publications. Timeliness is a characteristic of the information published in this series. Often the information will be used in subsequent refereed publications. All field day reports and branch station annual reports containing information on research funded by the Agricultural Experiment Station are published as Special Reports. All publications are produced using funds provided by the faculty author(s), departments, or branch station accounts.
AES manuscripts intended to be published as Special Reports go through the following review and production process:
The primary author asks at least two colleagues (from on- or off-campus) to review the manuscript. If a manuscript involves multiple disciplines or multiple authors, it is the responsibility of the primary author to coordinate with appropriate department heads and superintendents to identify reviewers from those disciplines. It is the responsibility of each author to ensure that reviewer comments are appropriately addressed before submitting the manuscript to the primary author.
After the reviews are conducted and addressed, the primary author prepares an online AES Publishing Project Submission form. When received by EESC, an editor will contact the author for the manuscript file(s). EESC will handle or oversee editing for clarity and consistency in how research methodology and findings are reported. After editorial input, the manuscript is returned to the author(s) for author review and final manuscript preparation. The author returns the final manuscript to EESC, which prepares and delivers it for printing, online production, or both.
If printed, completed publications are delivered to the primary author for distribution (no copies are warehoused).
Each article or report within the final document must go through this review process.
Technical Bulletin
The primary means to validate Experiment Station research is through peer-reviewed, refereed outlets, such as professional journals. We expect Station scientists to pursue publication in those outlets whenever possible.
Occasionally the need arises to publish work that benefits from critical peer-review, and an appropriate outlet is not readily available. The Technical Bulletin may provide an outlet.
These bulletins communicate research results to technical audiences such as scientists, natural resource managers, and Extension educators, although persons with less technical backgrounds might use these publications. Technical bulletins contain information on research funded by the Agricultural Experiment Station and are published using funds provided by the faculty author(s), departments, or branch station accounts.
AES manuscripts intended to be published as Technical Bulletins go through the following review and production process:
Potential authors should contact the EESC publishing unit about publishing in this series. At the request of EESC publishing faculty, the dean will appoint a technical editor for the publication following consultation with the department head, superintendent, or others. The designated technical editor should be familiar with publishing and peer review processes. The primary author asks at least two OSU colleagues (from on- or off-campus) to review the manuscript. After utilizing input from these internal reviewers, the author submits the manuscript to the technical editor who solicits blind reviews from at least two, and preferably three, qualified persons outside the department or branch station (e.g., from other states, agencies, universities). If the manuscript is multi-disciplinary, the technical editor will work with appropriate departments to identify reviewers from those disciplines.
If the outside reviewers are split on whether the manuscript is acceptable, the technical editor may identify an appropriate additional reviewer. The technical editor will work with the author(s) and EESC publishing faculty to ensure that reviewer suggestions are appropriately addressed. The decision to publish the manuscript lies with the technical editor designated for this publication.
After the reviews are conducted and addressed, the lead author or designated author prepares an online AES Publishing Project Submission form. When received by EESC, publishing faculty will contact the author for the manuscript file(s). EESC will handle or oversee editing for clarity and consistency in how research methodology and findings are reported. After editorial input, the manuscript is returned to the author(s) for author review and final manuscript preparation. The author returns the final manuscript to EESC, which prepares and delivers it for printing or online production, or both.
If printed, completed publications are delivered to the Extension Distribution Center for storage and distribution. EESC will prepare online publishing formats.
Each article or report within the final document must go through this review process.
Publishing criteria and expectations
Authors preparing manuscripts for AES numbered publications will use the standard AES Publishing Project Submission form, publication formats, and organizational criteria developed by EESC. This department also will edit manuscripts to ensure they meet Oregon State University standards for grammar, punctuation, style, clarity, consistency, and organization. EESC is responsible for coordinating all aspects of print production to comply with State of Oregon and Oregon State University printing regulations. EESC also will list Technical Bulletins in the Extension and Agricultural Experiment Station printed catalog.
EESC also will ensure currency and quality that clientele expect from official, numbered publications by placing AES publications in a centralized online database that can be accessed from throughout the world. The online Publications & Videos database catalog will be the repository of official, numbered AES publications. EESC publishing faculty will work with AES faculty and staff to link (or make reference to the appropriate URL) this official repository with other colleges, departments, units, and individual web servers. EESC will list Technical Bulletins and Special Reports in the online catalog. |
